To sign up for staff parking at Heathrow, companies must be registered with the Heathrow ID Pass Scheme and hold valid Heathrow ID cards. To register for parking, please contact your company’s authorised signatory.

Display your valid permit

All Heathrow colleague car park users must display an individual QR code (parking permit) in their vehicle while parked in colleague car parks .QR codes are issued by your company’s dedicated authorised signatory upon approval of the car park application. Each QR code is valid only for the specific vehicle and car park assigned. The QR code must be displayed visibly at all times on the vehicle's front windscreen, allowing security teams to visually verify and scan the permit.

Vehicles parked without clearly displaying a valid QR code/permit will receive a Parking Charge Notice (PCN), according to the Car Park Terms & Conditions.

Keeping Your QR Code Up to Date

If you already have a printed QR code, ensure your car park application details (car park, vehicle registration, etc.) are current. You can verify your details by scanning your QR code with your phone camera.

 TERMS AND CONDITIONS OF USE FOR THE COLLEAGUE CAR PARKS

INTRODUCTION

The Colleague Car Parks are owned and operated by or on behalf of Heathrow Airport Limited, a company registered in England and Wales with company number 01991017 whose registered office is The Compass Centre, Nelson Road, Hounslow, Middlesex TW6 2GW (“Heathrow”).

These terms and conditions (“Terms and Conditions”) apply to all persons who use the Colleague Car Parks. 

  1. DEFINITIONS

“Airport”

means London Heathrow Airport.

“Airline Crew” 

means any Authorised User working on or inside any aircraft arriving to or departing from the Airport.

“Airport ID Card”

means the identification card necessary to work at the Airport as issued by Heathrow’s ID Centre.

“Authorised Person” 

means a member of the Police, Landside or Service Transport Logistics teams (including traffic officers) or a staff member of Heathrow’s contracted bus or car park operators.

“Authorised Signatory”

means a person performing the role of Authorised Signatory in accordance with Heathrow’s ID Pass Scheme Terms and Conditions as updated from time to time.

“Authorised User” 

means any person who holds a valid:

  1. Airport ID Card; and 
  2. a Car Park Pass.

 

“Car Park Operator”

means any company appointed by Heathrow to operate the Colleague Car Parks.

“Car Park Pass”

means the Car Park Pass issued to Authorised Users in accordance with these Terms and Conditions 

“Car Share”

means any individual using their Vehicle in accordance with the terms of Heathrow’s Share www.heathrow.com/carshare.

Car Share Terms and Conditions

means the relevant Terms and Conditions in force from time to time and accessed here: www.heathrow.com/carshare. 

Any reference in this Agreement to words and expressions importing the singular shall, where the context permits or requires, include the plural and vice versa.

For the avoidance of doubt, clause and/or clause headings in this Agreement are for convenience only and do not affect the overall interpretation of this Agreement.

2. GENERAL TERMS OF USE

2.1 Use of the Colleague Car Parks is only permitted while the Authorised User is on duty at their workplace or while the Authorised User is using the Colleague Bus to connect to their workplace. 

2.2 Authorised Users may only park their Vehicles in the Colleague Car Park(s) which correspond to their workplace as set out in Annex 2. 

2.3 Unless otherwise set out in these Terms and Conditions, Authorised Users must not park in the Colleague Car Parks for more than 24 hours. 

2.4 Any Vehicle parked in any Colleague Car Park for longer than 24 hours may be issued with a Parking Charge Notice and will also be charged for the number of days, or part thereof, that the Vehicle overstays at a rate of £88 for each additional 24 hours or part thereof. 

2.5 If an Authorised User needs to remain in a Colleague Car Park for more than 24 hours due to the Authorised User remaining on duty at the Airport, they must email colleagueparking@heathrow.com or call the car park operator on 0208 564 9575 to advise of this. 

2.6 All Authorised Users who are part of the Heathrow Car Share scheme are expected to adhere to the Car Share Terms and Conditions which are to be found at www.heathrow.com/carshare. 

2.7 No Company liveried Vehicle is permitted within Colleague Car Parks except between the hours of 2300 and 0500 and with written permission of Heathrow’s Car Park Operator. Permitted hours are subject to change and will be notified to Companies by Heathrow.

Eligibility

2.8 Only persons with a valid Heathrow Airport ID Card can apply for a Car Park Pass.

2.9 Prior to its first application for a Car Park Pass each Company must appoint an individual to manage the application process and shall notify Heathrow of the Pass Controller.

2.10 All applications for a Car Park Pass must be done via ID Gateway. The Pass Controller is responsible for ensuring all requests for new, amended or cancelled Car Park Passes are made following the correct process.

Payment Terms

2.11 Charges for a Car Park Pass are reviewed and consulted on periodically and details are published in the applicable General Notice which can be found on the Heathrow website.

2.12 Heathrow may notify Companies by email in the event that their charges are different from those published in the General Notice for whatever reason.

2.13 Charges for a Car Park Pass will be paid by the Company to Heathrow in such manner as Heathrow may require.

2.14 Charges will apply from the time the Car Park Pass application is approved in ID Gateway by the Heathrow colleague parking team. Charges will be incurred monthly until a cancellation is submitted by the Company’s Pass Controller in ID Gateway and approved by the Colleague Parking Team.

Charges

2.15 Charges for a Car Park Pass are billed on a monthly basis regardless of whether the pass is active on ID Gateway for all of that month.

2.16 Where an Authorised User no longer requires access to a Colleague Car Park the Pass Controller must request cancellation of the relevant Car Park Pass no later than 1200 on the last working day of the month to not incur charges for the following month. No refunds are given for unused Car Park Passs.

2.17 Any request for cancellation of a Car Park Pass must be made via ID Gateway and then approved by Heathrow’s colleague parking team before it is considered completed.

2.18 The Pass Controller will be responsible for managing and maintaining the accuracy of all data relating to Users contained in ID Gateway.

2.19 All invoices must be paid in accordance with Heathrow’s standard payment terms as set out on the issued invoice or in the General Notice, as applicable. Late payment may incur charges.

2.20 Lost or stolen ID Passes must be reported immediately to the relevant Pass Controller. If a replacement Car Park Pass is required this will be provided by the Pass Controller.

Car Park Passes and Heathrow Airport ID Cards

2.21 Authorised Users must scan their Heathrow Airport ID Card on both entry and exit to all Colleague Car Parks. 

2.22 Authorised Users must place their Car Park Pass in their Vehicle windscreen so that it is easily visible and can be scanned by an Authorised Person.

2.23 Car Park Passes are only valid for the Authorised User’s Vehicle(s) for which they were issued. An Authorised User may register up to two Vehicles on their Car Park Pass.

2.24 All Heathrow Airport ID Cards and Car Park Passes:

a) remain the property of Heathrow; 
b) are non-transferable; and 
c) must be shown or surrendered to any Authorised Person immediately on request.

Behaviour in the Colleague Car Parks

2.26 Authorised Users must drive carefully and observe speed limits in the Colleague Car Parks at all times. Random speed checks are carried out in the Colleague Car Parks on a regular basis.

2.27 Any Authorised User found to be repeatedly driving in an unsafe manner may have their access to Colleague Car Parks removed. In the event that access is removed no refunds will be issued.

2.28 Authorised Users must obey all directional signs and instructions in the Colleague Car Parks and any instructions given to them by an Authorised Person.

2.29 If the barrier to a Colleague Car Park is malfunctioning Authorised Users must report this to Heathrow’s Car Park operator using the call button on the barrier.

2.30 The following activities are strictly prohibited in Colleague Car Parks:

a) towing a Vehicle in or around the Colleague Car Park without first obtaining permission from Heathrow’s Car Park Operator; 
b) conducting works (other than Emergency Works) on a Vehicle; 
c) cleaning a Vehicle; 
d) any activities in connection with the advertising, selling, hiring or disposal of a Vehicle; 
e) knowingly abandoning a Vehicle; 
f) forcing or attempting to force entry/exit into any Colleague Car Park; 
g) any criminal activities and/or any violent or abusive behaviour towards any person. All such incidents will be reported to the police; 
h) leaving persons or animals locked in a Vehicle; 
i) parking outside of a designated parking bay, unless as instructed or authorised by an Authorised Person; 
j) misusing or damaging property in or forming part of the Colleague Car Parks. 
k) driving dangerously; 
l) making unnecessary noise or causing nuisance; 
m) cooking and/or lighting fires; 
n) feeding birds and/or any other animals; 
o) leaving litter anywhere within the Colleague Car Park other than the designated litter bins; and 
p) failing to comply with the Heathrow Byelaws. Authorised Users are expected to familiarise themselves with the Heathrow Byelaws before using the Colleague Car Parks.

2.31 If an Authorised User causes damage to:

a) their Vehicle; 
b) another person’s Vehicle; 
c) any other property; or 
d) identifies any faults with and/or damage to the Colleague Car Parks in any form, 
the Authorised User must report such damage immediately to Heathrow’s car park operator by contacting them on 020 8564 9575 or by email to colleagueparking@heathrow.com

Parking spaces

2.32 Heathrow cannot guarantee availability of car parking spaces in any Colleague Car Park. 

2.33 When parking in the Colleague Car Park any Vehicle parked in a designated disabled bay must clearly display a valid disability parking permit 

2.34 Any Vehicle parked in a designated car share bay must clearly display a valid Heathrow Car Share permit in the windscreen. All Authorised Users within the Heathrow Car Share scheme are expected to obey the Car Share Terms and Conditions which are to be found at www.heathrow.com/carshare.

Colleague Buses

2.35 Authorised Users of any Colleague Car Parks and other Company employees are entitled to use the Colleague Bus service provided to connect to their place of work. They must show their Airport ID Card if requested to do so by the driver. Failure to do so may result in the refusal by the driver to carry the colleague.

2.36 Where someone other than a Company employee needs to use the Colleague Bus service they must be accompanied by an Authorised user or other Company employee carrying their Airport ID Card.

2.37 Other than as set out below Authorised Users are not permitted to carry suitcases, large items of luggage or bulky tools on the Colleague Bus:

a) Cabin crew; 
b) With prior written permission from Heathrow Travel Services or Heathrow Landside Operation. Permission can be obtained by contacting colleagueparking@heathrow.com 

2.38 Only assistance animals will be allowed on a Colleague Bus. 

2.39 The driver has been instructed to refuse to carry such persons or animals that do not meet the criteria set out above. 

2.40 Heathrow has a zero tolerance approach to abusive behaviour. Any person found to be abusive will be asked to leave the Colleague Bus. Heathrow reserves the right to withdraw an Authorised User's Car Park Pass for unacceptable behaviour. 

2.41 All notices or instructions posted on or in Colleague Buses must be adhered to. 

2.42 All users must board the Colleague Bus through the front doors only, with the exception of wheelchair users. 

2.43 All users are required to report any incidents that occur during their journey to the driver at the time. 

3 . SPECIFIC COLLEAGUE CAR PARK TERMS AND CONDITIONS

MSCPs

3.1 The MSCPs may only be used by Authorised Users whose contracted hours of work at Heathrow Airport are between 21:00 and 07:00.

3.2 Entry to the MSCPs is not permitted after 02:00, and Authorised Users may only park their Vehicles in the MSCPs between the hours of:

a) 19:30 – 07:30 for MSCP1A; and 
b) 21:00 – 07:30 for MSCP4.

3.3 Authorised Users who park outside of these hours may be charged to park their Vehicle at the published daily rate for that car park. The hours specified in condition 3.2 are subject to change by Heathrow from time to time. Any such changes will be communicated via ID Gateway and through a terminal notice.

3.4 Parking in the MSCPs must be for a minimum of 4 (four) hours. If an Authorised User parks in the MSCPs for a period of less than 4 (four) hours, they may be charged for parking their Vehicle at the Short Stay Rate. 

3.5 Authorised Users who park in MSCPs must park on levels 2 and 3. Failure to comply may result in the Authorised User being charged to park their Vehicle at the Short Stay Rate.

3.6 Commercial Car Park Users cannot park in MSCP1A for more than a consecutive period of 7 (seven) days or 6 (six) nights without first receiving dispensation from commercial.parking@heathrow.com. Failure to comply may result in the Commercial Car Park User being charged to park their Vehicle at the Short Stay Rate.

3.7 Authorised Users of parking in the MSCPs should not take a ticket out of a ticket machine unless instructed to do so by an employee of Heathrow’s Car Park Operator.

3.8 Authorised Users must scan their Heathrow Airport ID Card on both entry to and exit from MSCP 1A and MSCP 4 car parks.

Terminal 2-3 long stay car park (“Long Stay T2-3”)

3.9 Airline Crew may not park in Long Stay T2-3 for longer than a consecutive period of twelve days or eleven nights. Failure to comply may result in the Authorised User being charged to park their Vehicle at the Short Stay Rate.

3.10 Airline Crew may only park in Zones D or F of Long Stay T2-3 or in a designated overflow area, if directed by the Car Park Operator.

4. BREACH OF TERMS AND CONDITIONS

4.1 An Authorised User who fails to comply with any of these Terms of Conditions may:

a) be issued with and be liable to pay a Parking Charge Notice; and/or 
b) have their access to the Colleague Car Parks withdrawn.

4.2 All Parking Charge Notices must be paid by the Authorised User within 28 days of issuance. Non-payment or late payment of a Parking Charge Notice may result in the Authorised User’s right to access the Colleague Car Parks being withdrawn without notice.

4.3 Heathrow reserves the right to enforce the Parking Charge Notice by all lawful means. If Heathrow or its agents are required to use debt recovery methods to recover a Parking Charge Notice or any other debt, the relevant Authorised User may be liable for any additional charges that are incurred.

4.4 Parking Charge Notices are issued and enforced by the Car Park Operator, and instructions on how to (i) make payment; or (ii) make an appeal, are set out on the Parking Charge Notice itself. 

4.5 Heathrow, its agents and any Authorised Persons reserve the right to immobilise Vehicles in a Colleague Car Park whenever they, in their discretion, acting lawfully, think it necessary to remedy a breach of these Terms and Conditions.

5. MOVING AND RELOCATION OF VEHICLES

5.1 Heathrow and its agents and contractors reserve the right: 

a) to move any Vehicle within the Colleague Car Parks to such extent as they may in their discretion think necessary so as to avoid obstruction to the entrances and exits of the Colleague Car Parks; 
b) to move any Vehicle to another car park on or near the Airport if any Colleague Car Parks have to be closed whether permanently or temporarily, in whole or in part, or have to be evacuated in cases of emergency; 
c) to move any Vehicle to another car park on or near the Airport if a Vehicle has remained in any Colleague Car Park in excess of the time limits specified in these Terms and Conditions; 
d) to tow a Vehicle along the Airport roads or the public highway to the extent that it may be necessary to do so in the exercise of the rights conferred upon Heathrow under these Terms and Conditions; and 
e) to dispose of a Vehicle and retain any proceeds from the sale of such Vehicle where the owner of that Vehicle leaves it in a Colleague Car Park in excess of the time limits specified in these Terms and Conditions and does not respond to a request to remove the Vehicle and pay any monies owed under these Terms and Conditions. For the avoidance of doubt, the provisions of section 12 and Schedule 1 of the Torts (Interference of Goods) Act 1977 are excluded in relation to this condition 5.1 and the Authorised User shall not be entitled to receive the profits (if any) resulting from such disposal.

6. LIABILITY FOR LOSS DAMAGE OR INJURY

6.1 All Vehicles and their contents are left in the Colleague Car Parks entirely at the Authorised User’s risk. 

6.2 While an Authorised User’s Vehicle is in, entering or exiting a Colleague Car Park, Heathrow and its agents will not be liable for:

a) loss or damage to any Vehicle, its parts, accessories, or any property; 
b) Vehicle theft, including possessions within a Vehicle; or 
c) death or personal injury sustained by Authorised Users or others,

howsoever caused unless it is proved to be caused by the negligence of Heathrow or its employees. Should a Vehicle be lost or any of the possessions from the Vehicle stolen while it is in any Colleague Car Park, the Authorised User must:

I. immediately report the matter on 07583 707791 or on 02085649575, quoting the registration number(s) of the vehicle(s) concerned; and 
II. immediately inform the Police and any relevant insurer.

6.3 Nothing in this Agreement shall exclude, limit or restrict the liability of either party: for death or personal injury arising from negligence; 

a) in respect of any fraud or fraudulent misrepresentation; or 
b) to the extent such limitation or exclusion is not permitted by law. 6.4 Heathrow reserves the right to vary these Terms and Conditions from time to time. Any amendments to these Terms and Conditions will be published on signage in the Colleague Car Parks.
